How Does the RakefetOnline Form Builder Work?

The RakefetOnline Form Builder allows your organization to create customized online forms for registrations, events, donations, payments, information collection, and more.

Forms can be as simple as a few questions or designed as multi-page forms that collect detailed information and payments.

Creating a New Form

From RakefetOnline, go to:

Setup → Database → Form Builder

Select + Create New Form to begin.

Enter a Form Name that will help your staff identify the form, such as:

  • High Holiday Dinner Registration

  • Religious School Registration

  • Annual Gala

  • Brotherhood Breakfast

  • General Donation Form

  • Volunteer Signup

New forms are Active by default. You can switch a form to inactive when you are not ready for people to access it or when the form is no longer being used.

Building Your Form

Forms are organized into pages. Give your first page a name and begin adding the questions, instructions, and other information you want to collect.

You can create additional pages to turn a longer form into an easy-to-follow multi-step form.

For example, a registration form might contain:

Page 1 – Contact Information
Name, email, phone number and address

Page 2 – Registration Information
Attendees, selections, meal choices or other questions

Page 3 – Payment
Registration fees, donations or other charges

Breaking longer forms into sections can make them easier for the person completing the form.

Adding Questions and Information

As you design the form, you can add fields, dropdown selections, notes and other form elements.

Fields can be marked Mandatory when an answer is required before the form can be submitted.

You can also:

  • Reorder fields

  • Duplicate fields

  • Remove fields

  • Add or remove pages

  • Organize related questions together

This gives you considerable flexibility in designing a form for your organization's particular needs.

Customize the Appearance

The Form Builder includes tools for customizing the look of your form.

You can add:

  • Colors

  • Images

  • Text and instructions

  • Headers and other visual elements

This allows you to create a form that better matches your event, campaign or organization's branding.

Receive Notifications

You can enter a Response Email for the form.

When someone submits the form, RakefetOnline can notify that email address that a new response has been received.

This is especially useful for registrations, event forms and other forms that staff may need to monitor.

Collecting Payments

Forms can also be configured to collect payments.

Depending on the form you are creating, payment can be:

  • Required

  • Optional

  • Configured with specific pricing

  • Configured for recurring payments when appropriate

This means the same form can collect the person's information and their payment without requiring a separate registration and payment process.

Save and Preview Your Form

Once your questions, design and payment settings are in place, select Save and View.

This allows you to see the form from the user's perspective and make adjustments before distributing it.

It is a good idea to complete a test submission before publishing a new form.

Sharing Your Form

After saving the form, return to the Form List.

Each form has its own unique URL.

You can copy this URL and use it in:

  • Your organization's website

  • Emails

  • Newsletters

  • Social media

  • Event announcements

  • QR codes or other promotional materials

RakefetOnline also supports website integration tools, including form iFrames, allowing forms to be incorporated into your organization's website.

What Happens When Someone Submits a Form?

When the form is submitted, the person completing it is prompted to identify their submission with their name and email address.

This helps your organization know who completed the form and provides contact information if follow-up is necessary.

Once a form has been submitted, the donor/member cannot return to that submission and edit it. If information needs to be changed, they can complete and submit the form again.

Viewing Form Responses

From the Form List, staff can see responses by selecting View Responses.

The Form Response page allows you to review individual submissions as well as the responses collected for the form.

Response information can also be exported to:

CSV or Excel

This makes the Form Builder useful not only for collecting information, but also for reporting and managing the information after an event or campaign.

What Can You Use Form Builder For?

Form Builder is intentionally flexible. Organizations can use it for everything from simple information requests to complex registrations with payments.

Some common examples include event registrations, donations, sponsorships, program signups, meal selections, volunteer forms, school-related registrations, surveys and fundraising campaigns.

Because every organization's needs are different, some forms may require more detailed setup than others. Rakefet Support can assist with specific form designs and help determine the best way to structure questions, pricing and payment options.
